Job overview

The post holder will be required to work closely with ward manager assisting general administrative/clerical duties and be fully competent in the features of the hospital computer system and undergo further training when systems are updated and, as job requires. Ensuring patient confidentiality is not compromised in line with the requirements of the Data Protection Act and providing prompt and accurate response to all enquiries.

Main duties of the job

Larch ward is a 20-bedded acute surgical unit specialising . The main element of the role is to assist the Ward Manager and Nurses with general ward administration/clerical duties to ensure the smooth running of the unit as required. You will be the first point of contact for patients, their friends and families and ensuring that messages are passed appropriately and in a timely manner. To register patient details on ICARE ensuring a high level of data accuracy. To deal with written and telephone enquiries for the unit as appropriate, answer phone, cancellation e-mails, post, date stamping, photocopying, scanning- ensuring referral letters are sent/taken to the appropriate departments. Ordering all stocks for services within the site. General filing duties as required. To be aware of Trust Complaints Procedures and be able to act accordingly and assist in the process of obtaining medical notes when required and maintaining confidentiality at all times.

Detailed job description and main responsibilities

The Ward Administrator is the first point of contact for patients, their friends and families and ensuring that messages are passed on appropriately and in a timely manner.

Dealing with bereaved relatives in a polite and courteous manner, being approachable and friendly. It is also essential to have good telephone verbatim. To highlight any referrals which require urgent attention and deal with them promptly, this can sometimes involve discussions with the medical team directly, to be able to arrange where the patient needs to be booked, it is also important to develop working relationships across the trust with consultants and their teams including medical secretaries, specialty and general managers.

Patient confidentiality should be maintained at all times.

To register patient details on Cerner ensuring a high level of data accuracy.

To admit and discharge on Cerner and on EPRS

To book follow up appointments as required

Booking of hospital transport for patients according to the hospital Transport Policy. Liaise
with the Transport team with enquiries.

Qualifications and Training

Essential criteria
  • Minimum Level 2 in English and maths or equivalent (Level 2 is equivalent to GCSE grades A*- C ; new GCSE 4 - 9 )
  • Willing to commit towards an Apprenticeship


Desirable criteria
  • GCSE English, Math's or equivalent evidence of literacy and numeracy


Experience

Essential criteria
  • Previous experience of working in a busy environment or an acute health setting
  • Previous experience in an admin role
  • Experience using oracle
  • Experience using Icare


Desirable criteria
  • Previous experience of working in a busy environment in a healthcare setting
  • Previous experience of minute taking


Skills and Abilities
