Part-time Project Coordinator

Job Overview
We are a small, family-owned signage business looking for a motivated, hands-on Part-Time Project Coordinator & Scheduler. This role is ideal for someone who wants real-world experience, close collaboration, and exposure to how a creative business actually operates.

You’ll work directly with a small team on real client projects and see your designs go from concept to production. As the company grows, this position has the potential to transition into a full-time role for the right candidate.

This role offers an exciting opportunity to contribute to a variety projects by coordinating schedules, managing project timelines, and supporting both proposal and production teams with efficiency and accuracy.

The ideal candidate is proactive, highly organized, and comfortable managing multiple projects simultaneously. A strong understanding of project coordination processes and excellent communication skills are essential. This position is perfect for someone who wants to make a meaningful impact in the construction and signage industry while enjoying the flexibility of a part-time schedule.

Duties

  • Coordinate subcontractors, general contractors, vendors, and internal teams to ensure clear roles, responsibilities, and timelines
  • Schedule installations and manage project timelines to keep projects on track.
  • Assist with obtaining permits from local jurisdictions by conducting research and completing required documentation.
  • Serve as the primary liaison between clients and internal teams to ensure clear communication and timely updates.
  • Confirm site readiness, installation requirements, and logistics prior to scheduled installation dates.
  • Monitor project progress and proactively resolve scheduling or installation issues.
  • Maintain accurate records of project status, installation schedules, contracts, and partner communications.
  • Ensure installations meet company quality standards and client expectations.
  • Assist with vendor invoicing and payment coordination as needed.
  • Manage contract documentation, change orders, and ensure compliance with contractual obligations.

Qualifications

  • A minimimun of 1 year of experience in project coordination/management
  • Strong organizational and time management skills.
  • Excellent written and verbal communication skills.
  • Comfortable coordinating with vendors, contractors, and clients.
  • Excellent time management skills with the ability to prioritize multiple tasks effectively
  • Demonstrated ability to coordinate projects across multiple teams and stakeholders
  • Proficiency with Microsoft Office, Google Workspace, and project management tools.
  • Strong attention to details

Pay: $16.00 - $19.00 per hour

Expected hours: 25.0 per week
