We are a dynamic and passionate paracycling team dedicated to achieving excellence in competitive sports. Our team comprises talented athletes who inspire and motivate us every day. We are seeking an Executive Assistant/Project Manager to join our team and support our CEO in administrative tasks, competition logistics, purchasing, and revenue generation activities.

Ideal Candidate:

The ideal candidate for this position will excel if they can stay focused and solutions-oriented in high-pressure situations. They should bring relevant experience that demonstrates their ability to handle all administrative tasks, ensuring the CEO/Team Manager’s operations run smoothly. Detail-oriented and resourceful, they know how to assess a challenge and act decisively to keep things on schedule.

Responsibilities:

Executive and Administrative Support:

  • Provide comprehensive day-to-day assistance to the CEO in all aspects of organisational management, operations, and communications.
  • Anticipate the CEO’s needs and take initiative to address them promptly and effectively.
  • Manage calendars, schedule meetings, coordinate travel, and ensure the CEO is fully briefed and prepared for all engagements.
  • Handle sensitive and confidential information with the highest degree of professionalism and discretion.

Operational Coordination

  • Maintain accurate and up-to-date records across Airtable, Google Drive, and other internal systems.
  • Track ongoing projects, deadlines, and deliverables; issue reminders and coordinate follow-ups to ensure timely completion.
  • Support procurement, purchasing, and expense documentation as required.

Communication and Liaison

  • Draft, proofread, and send professional correspondence on behalf ofthe CEO and Gaza Sunbirds.
  • Coordinate with internalteams (Events, Digital Media, Athletes)to ensure consistent communication and efficient workflows.

Event and Travel Support

  • Assist with travel arrangements, competition logistics, and administrative preparation for domestic and international events.
  • Maintain itineraries, briefing documents, and travel packs forthe CEO and accompanying team members.
  • Support Events/Pres and Digital Media with scheduling, coordination, and information management where relevant.

Information and Systems Management

  • Oversee digital filing and documentation systems to ensure information is well organised, current, and easily accessible.
  • Identify and implement process improvements to increase efficiency across the organisation.

General and Adaptive Support

  • Provide flexible, hands-on assistance to the CEO and team in any reasonable capacity necessary for the smooth functioning of operations.
  • Adapt quickly to shifting priorities, crises, or special projects, offering administrative, logistical, and communication support as needed.
  • Uphold the mission, values, and public image ofthe Gaza Sunbirds in all professional activities

Qualifications:

  • Arabic Speaker - This will probably be a deal breaker; if it's not for you, please tell your Arabic-speaking friend. If you think it could be you, regardless of language, then please don't hesitate to apply.
  • Palestine Knowledge and Support - Lets be clear it isn't enough to "support Palestine". You are joining what is currently one of the largest Palestinian news, cultural and sports networks operating internationally. You need to demonstrate strong understanding of cultural contexts.
  • Passion for sports, particularly cycling, and a commitment to promoting inclusivity and diversity in athletics.
  • Strong organisational skills with the ability to multitask and prioritise effectively in a fast-paced environment.
  • Excellent communication skills, both written and verbal, with a high level of professionalism.
  • Proficiency in Microsoft Office Suite and project management software (e.g., Asana, Trello, etc.).
  • Ability to work collaboratively in a team setting and build positive relationships with internal and external stakeholders.
  • Bachelor’s degree in business administration, sports management, or a related field (preferred)
  • Proven experience as an executive assistant, project manager, or similar role, preferably in the sports or non-profit sector (preferred).
  • Knowledge of budgeting, fundraising, and sponsorship principles is a plus.
