<p><strong>Personal Assistant to Global HR</strong></p><p><strong>Global Financial Services firm </strong></p><p><strong>Based in the City of London </strong></p><p><strong>Salary £50k circa plus bens</strong></p><p><strong>Hybrid working on offer </strong></p><p><br></p><p>The primary purpose of this role is to provide comprehensive executive support to the Executive Officer, Global HR, while serving as a vital liaison between head office and regional offices worldwide. The position encompasses executive assistance responsibilities including meeting coordination, schedule management, travel arrangements, expense processing, and various administrative procedures. Additionally, the role extends to supporting the London-based Global HR team (currently 5 members with planned expansion) as a group assistant and providing personal assistant services to the European CPO. The position requires bilingual capabilities to facilitate communication between Japanese and English-speaking stakeholders</p><p><br></p><p>Main responsibilities will include; </p><p><br></p><p>Executive Support for Global HR Executive Officer:</p><p><br></p><ul><li>Coordinate and schedule meetings with headquarters executives, regional officers, and external partners</li><li>Manage complex calendar scheduling across multiple time zones</li><li>Arrange comprehensive travel itineraries including flights, accommodations, and ground transportation</li><li>Process expense reports and reimbursements</li><li>Handle various internal applications and corporate procedures</li><li>Act as executive proxy for administrative procedures and correspondence</li></ul><p><br></p><p>Group Assistant Support for London-based Global HR Team:</p><p><br></p><ul><li>Support current team of 5 members with planned expansion</li><li>Coordinate expense processing and reimbursement procedures</li><li>Schedule and coordinate team meetings and conference calls</li><li>Arrange travel arrangements for team members</li><li>Provide general administrative support to facilitate team operations</li></ul><p><br></p><p>Personal Assistant Duties for European CPO:</p><p><br></p><ul><li>Schedule and coordinate meetings and appointments</li><li>Manage travel arrangements and itineraries</li><li>Process expense reports and financial documentation</li><li>Provide administrative support for various business activities</li><li>Provide Japanese-English interpretation services as required</li></ul><p><br></p><p>To be considered for this position, ideal candidates must have the following experience and skills; </p><p><br></p><ul><li>Native or near-native proficiency in both Japanese and English (written and spoken)</li><li>Experience as an executive assistant or administrative/PA support</li><li>Experience supporting C-level or senior executives</li><li>Proven experience in international business environment</li><li>Experience with complex calendar management and travel coordination</li><li>Background in expense processing and administrative procedures</li><li>Experience working in multicultural, multilingual workplace.</li><li>Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)</li><li>Experience with travel booking systems and expense management platforms</li><li>Strong organisational and time management capabilities</li><li>Excellent written and verbal communication skills</li><li>Ability to handle confidential and sensitive information with discretion</li><li>Proficiency in calendar management across multiple time zones</li><li>Basic interpretation and translation skills.</li></ul><p></p>
