Job Summary

FutureBridge Foundation is seeking a highly organized and proactive Admin Officer to join our dynamic NGO team. The Admin Officer will play a crucial role in ensuring smooth office operations, coordinating administrative tasks, supporting program management, and maintaining effective communication across all organizational levels. Key Responsibilities

  • Manage day-to-day office operations including scheduling, filing, correspondence, and procurement of office supplies.
  • Coordinate meetings, events, and workshops, ensuring timely logistics and resource availability.
  • Maintain records, databases, and documentation in compliance with organizational policies.
  • Support HR-related functions such as onboarding, attendance tracking, and employee documentation.
  • Assist program teams with administrative support including reporting, communication, and documentation.
  • Facilitate effective communication between departments, staff, volunteers, and external stakeholders.
  • Monitor office budgets, expenses, and petty cash management.
  • Ensure compliance with organizational procedures and assist in implementing internal policies.
  • Contribute to enhancing operational efficiency through process improvements.

Required Skills and Qualifications

  • Bachelor’s degree in Business Administration, Management, or a related field.
  • Proven experience in administrative roles, preferably in NGOs or social sector organizations.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and basic office software.
  • Strong organizational and multitasking skills with high attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to work independently as well as collaboratively in a team environment.
  • Knowledge of NGO operational standards, compliance, and reporting is a plus.

Experience

  • Minimum 2–4 years of experience in administration, office management, or similar roles.
  • Prior exposure to NGO or non-profit sector operations will be highly advantageous.

Working Hours

  • Full-time role, Monday to Friday, 9:00 AM – 6:00 PM.
  • Flexibility may be required during events, programs, or urgent administrative requirements.
